All payments are required at the time of booking a pay-per-visit activity or purchasing a membership. Failure to make payment will result in the automatic cancellation of the booking or membership.
Pay-per-visit single activity booking payments are non-refundable once a booking is made and payment is received. You can transfer your pay-per-visit booking if notify us of your cancellation 24hrs prior to your activity booking start time by contact reception. Note transferred booking must be within 7 days of original booking. Holiday Activity Courses are non-refundable or transferable.
You can book 7 or 8 days in advance via the WLL App or online bookings. Simply log into your Xcite account using your PIN and ID. Members can re-book or cancel their activity under their account. Bookings can be made online up to 1 minutes before an activity starts. You can cancel a Fitness Class 2 hour prior to the class starting.
Note unless stated all bookings online are individual and you must log in under your own account to make a booking. If you are booking for your child, you must log in under their PIN and ID.
You can book 7 days in advance at Reception. Why not ask for your online PIN and ID next time you visit so you can enjoy the benefits of using WLL Xcite App. You can cancel your activity at reception prior to the activity start time – note for fitness classes 2 hours cancellation is required.
You’ll be able to book on the day of your class at Xcite Venues at kiosk stations - available Xcite Bathgate, Craigswood, Linlithgow, and Whitburn.
Cancellations can be made online up to 2 hours before the start time of an Xcite class. You will be able to cancel your class under the booking 'b' section of the WLL Xcite App. After this time you will need to contact the Xcite Venue directly to cancel the class before the start time. You cannot cancel by email or via our social media channels, only via your online account or contacting Reception directly.
Please note a No Show £2.00 penalty fee will occur on your account if you do not attend a booked activity, i.e Fitness Class, Lane Swimming, Sauna & Steam Room, which you booked and have not cancelled.
Why we have a No Show £2.00 penalty fee?
To help discourage non-attendance without cancellation we have a no show penalty fee of £2.00 per activity to Xcite members policy. If you book an activity and do not attend without cancelling your booking, a £2.00 charge will occur on your membership account. You'll receive an email notifying you of the fee and instructions on how to pay. Until the fee is paid you will lose your membership entitlement and will be charged for activities you attend until the no show £2.00 penalty fee is paid. The penalty fee can be paid online or at any Xcite Venue. This fee will only be applied to monthly and annual paying members.
To avoid obtaining a no show fee please cancel any activity bookings in advance and within the stated time limits.
Please arrive 5 minutes early for your class. It is your responsibility to check-in your (or your child's) attendance at reception or kiosk and retain your receipt. Hand your receipt to your instructor on arriving at your activity. Please do not turn up to a fitness class without a receipt as this will result in non-admittance to the class.
